When you purchase a membership, workshop registration, conference registration, or other item through the website, UTRID’s website may retain information necessary to process and document the transaction, such as your name, email address, billing information, the items purchased, transaction amount, order status, and payment method.

UTRID does not store your full credit card number, debit card number, bank account number, or other full payment credentials on our website. Payments are processed through PayPal and are subject to PayPal’s privacy practices.

When you visit our website, certain technical information may be collected automatically by WordPress, Jetpack, security, analytics, and other website services. This may include information such as:

PayPal

PayPal processes payments made through the UTRID website. UTRID does not store full payment-card or bank-account information on its website. PayPal may receive information necessary to process a transaction, such as your name, email address, transaction amount, and other information required for payment processing and fraud prevention.

PayPal’s handling of personal information is governed by PayPal’s own privacy practices.

Google

UTRID uses certain Google services for organizational and administrative functions, which may include Google Forms, Google Sheets, and Google Calendar.

Some UTRID forms and program applications may be submitted through Google Forms. Information submitted through those forms is processed through Google’s services.

UTRID also uses a WooCommerce integration that transfers certain registration and purchase information to UTRID-connected Google Sheets. Depending on the registration or purchase, this information may include:

  • Name
  • Email address
  • RID number, when provided
  • Dietary restrictions, when requested
  • Responses to registration questions
  • The workshop, conference, membership, or other item purchased or registered for
  • The amount paid

These Google Sheets are used for UTRID’s administrative, registration, event-planning, reporting, and recordkeeping purposes.

The Google Sheets do not contain full credit card numbers, bank account numbers, or other payment credentials. Payment processing is handled through PayPal.

Google’s handling of information is governed by Google’s applicable privacy policies and terms.

Mailchimp

UTRID uses Mailchimp for organizational email communications.

When applicable, UTRID may synchronize your name and email address with its Mailchimp audience. This information is used to manage UTRID’s email communications and mailing lists.

You may manage your email communication preferences or unsubscribe from applicable marketing communications through the options provided in those communications.

Website and Security Services

UTRID uses third-party services and plugins to operate, secure, maintain, and improve the website. These services may process limited technical information, such as IP addresses, browser information, device information, or website activity information when necessary to perform their functions.

4. Contact Forms and Communications

When you submit information through a UTRID contact form or other website form, the information you provide may be stored by the website and may be transmitted to UTRID volunteers, committee members, or other individuals responsible for responding to your request.

UTRID uses website email and form-management services to deliver and manage these communications. Website-generated email messages may also be logged for delivery, troubleshooting, and administrative purposes.

Please do not submit sensitive personal information through a general contact form unless UTRID specifically requests it.

5. Membership and User Accounts

If you create a UTRID website account or become a UTRID member, information associated with your account may be stored in the website’s WordPress and membership systems.

Membership information may include your name, email address, contact information, membership status, membership dates, payment history, and other information you provide as part of your membership.

UTRID uses this information to administer memberships, provide member services, maintain membership records, and communicate with members.

7. Website Analytics and Site Security

UTRID uses Jetpack to support website security, performance, and site statistics.

Depending on the Jetpack features enabled on the website, Jetpack may collect technical information about visitors and website activity, which may include IP address, browser and device information, visiting and referring URLs, timestamps, browser language, and general geographic information.

Jetpack is operated by Automattic, and information processed through Jetpack is subject to Automattic’s applicable privacy practices.

UTRID does not use website comments. The website therefore does not collect personal information through public comment submissions.

8. Data Security

UTRID takes reasonable measures to protect personal information against unauthorized access, alteration, disclosure, or destruction.

However, no method of transmitting or storing information electronically can be guaranteed to be completely secure. UTRID cannot guarantee the absolute security of information transmitted to or stored by the website.

UTRID may need to verify your identity or ownership of an account or email address before processing a privacy-related request.

WordPress and WooCommerce provide tools that can assist administrators with personal-data export and erasure requests. These tools do not necessarily cover information held by external services such as PayPal, Mailchimp, Google, or other third-party providers, which may have their own processes for handling privacy requests.

11. Children’s Privacy

UTRID’s website is intended for general audiences and is not specifically directed toward children.

UTRID does not knowingly collect personal information from children through the website.

12. Third-Party Websites and Services

The UTRID website may contain links to websites operated by other organizations, including professional organizations, educational institutions, community organizations, event partners, and service providers.
